Shannon Athletic Club (SAC) recognises the importance of photography, filming and media in celebrating achievements, promoting athletics and communicating with members and the wider community.
This policy aims to ensure that photographs, videos and digital media involving children and young people are used safely, appropriately and respectfully, while safeguarding the welfare, dignity and privacy of all participants.

3. Scope
This policy applies to all photography, filming, video recording and media activity connected to Shannon Athletic Club activities, including training sessions, competitions, events, trips, presentations and social activities.

SAC acknowledges that taking photographs and recording videos at sporting events is common practice. However, the club is committed to ensuring that images are used responsibly and in a manner that protects the welfare, dignity and privacy of children and young people.
The club will take reasonable steps to ensure that images are appropriate, consensual and in line with safeguarding guidance.

5. Permission and Consent
Parents/guardians will be informed that photographs and video footage may be taken during club activities for legitimate club purposes such as promotion, celebration of achievements, training or administration.
Where appropriate, consent for photography and media use may be sought through membership or registration forms.
Parents/guardians who do not wish their child’s image to be used should notify the club’s Children’s Officer or committee.
Third-party photographers or media representatives may be required to identify themselves and comply with club safeguarding procedures.

Only appropriate images of children and young people should be taken and used.

Images that may cause embarrassment, distress or place a child at risk.

Parents/guardians and spectators may take photographs or videos for personal use unless otherwise advised by the club or event organisers.

9. Storage and Retention of Images
The club will take reasonable steps to ensure images are stored securely and used only for legitimate purposes.
Images should:

10. Reporting Concerns or Inappropriate Use
Any concern regarding inappropriate photography, filming or use of images should be reported immediately to a committee member, Club Children’s Officer or Designated Liaison Person.
The club may:
Request removal of inappropriate content.
Restrict individuals from taking photographs or videos.
Report safeguarding concerns to Athletics Ireland, Tusla, An Garda Síochána or relevant authorities where appropriate.

11. CCTV and Recording Devices
Where CCTV systems are present within facilities used by the club, SAC will seek to ensure that members and parents/guardians are aware of their presence.

The use of drones or aerial recording devices during club activities or events is prohibited unless specifically authorised in advance and carried out in compliance with Irish aviation and safeguarding regulations.

The club will handle photographs, video footage and related information in line with data protection requirements.
